Custom CRM
Custom CRM, module by module
A CRM that follows your sales process from start to finish: lead generation and call centre, sales network, customers, contracts, invoicing, accounting, time tracking and reporting. You switch on the modules you need and it grows with you.
The problem
Why a generic CRM falls short
Off-the-shelf CRMs are designed for an average salesperson in an average company. As soon as your process has particular features —validations, commissions, several companies, your own rates— the custom fields, parallel spreadsheets and licences that go up every year begin.
- The team records the bare minimum because the CRM does not reflect how they really sell.
- Commissions and validations are calculated outside, in a spreadsheet.
- You pay per user, including those who only look things up.
- Connecting it to invoicing or the call centre requires paid integrations.
- The reports management wants cannot be produced without exporting and building tables by hand.
Modules
A modular CRM: you switch on what you use
Each module is built on the same customer core, so data is entered once and reaches everywhere.
- Mod. 01Lead generation and call centreContact databases, campaigns, call scheduling, scripts, outcome coding and call-backs.
- Mod. 02SalesOpportunities by stage, visits, proposals, targets and tracking of your own or external sales network.
- Mod. 03CustomersA single record with the whole history: contacts, documents, contracts, incidents and communications.
- Mod. 04ContractsSign-ups, document validation, digital signature, renewals and cancellations, with alerts before each expiry.
- Mod. 05InvoicingInvoices, receipts, bank remittances and collections, with series per company and automatic sending to the customer.
- Mod. 06AccountingJournal entries generated from invoicing and export for your accountant or accounting software.
- Mod. 07Time trackingTeam working-time records built into the same system, with reports for inspections.
- Mod. 08Reports and dashboardReal-time indicators by salesperson, campaign, product or company, with nothing to export.
Comparison
Generic CRM versus custom CRM
You do not always need a custom CRM. This table helps you see which side you are on.
| Aspect | Generic CRM | Custom CRM |
|---|---|---|
| Cost | Monthly fee per user that grows with the team | Initial investment and optional maintenance, with no per-user fee |
| Sales process | You adapt to the way the program is designed | The program follows your process, with your stages and rules |
| Fields and screens | Custom fields within certain limits | Screens designed for each profile: call centre, sales, back office |
| Integrations | Off-the-shelf connectors, often paid | Direct connection to your invoicing, phone system, website or suppliers |
| Commissions and validations | Outside the CRM, in spreadsheets | Calculated inside the CRM with your rules |
| Data ownership | On the provider’s servers | On your server or a managed one, with full access |
| When it makes sense | Small teams with a standard process | Your own processes, several companies or high volume |

Frequently asked questions
What people usually ask us
How much does a custom CRM cost?
It depends on the modules and the number of integrations. The usual approach is to start with the customer core and one or two modules, at a fixed price, and add the rest in phases. As you do not pay per user, in the medium term it usually works out cheaper than a generic CRM with a large team.
Can I start with just a few modules?
Yes, that is what we recommend. We start with what wastes most of your time and add modules on the same core, without redoing anything.
Can it connect to my phone system, my website or my invoicing software?
Yes. Integrations are part of the project: leads coming in from the website, calls from the phone system, invoices to your accounting software or data from your suppliers.
What happens to the data in my current CRM?
We migrate it. We export the information from the current system, clean it and load it into the new CRM before the team starts using it.
How many users can it have?
As many as you need. There is no limit or cost per user; the server is sized to the real volume of use.
Does it comply with data protection law?
Yes. We design the CRM with permissions by profile, access logs, backups and the tools to handle data subjects’ rights.
